LEAD TEACHER'S CHECKLIST

Six months before trip

  • Make a reservation and submit a confirmation fee within the month.
  • Inform students and parents about the trip. Arrange for a school presentation if desired.
  • Recruit physically-active chaperones - at least one, but not more than two, for every twenty (20) students.
  • Arrange for transportation.
  • Collect a deposit from students to secure a spot on the trip.

Six Weeks before Trip

  • Send a Bring-Along List, Release Form (if applicable), Health Form, Information Sheet, and
  • Student Letter & Parent Letter or Chaperone Letter, to each student & each chaperone.
  • Collect partial payment from students and chaperones.
  • Fax or mail the 2-page, signed Contract to the Environmental Coordinator.

Two to Three Weeks before Trip

  • Collect Release & Health Forms from students and chaperones and the balance of the student's payment.
  • Prepare your students for the trip.

One Week before Trip

  • Fax Cabin Group Lists & Field Group Lists. Arrange alphabetically then mail the Release & Health Forms. Xerox and keep a copy of the Health Forms for yourself.
  • Talk with the Program Coordinator at the Center to check on last minute details.

The Day of the Trip

At School

  • Collect medicines.
  • Take a head count.

At Sumatanga

  • Meet the staff at The Lodge
  • Give any group changes to the staff who greet you.
  • Turn in medicines to the nurse {See staff if medicine needs locked up.)**
  • Get settled into your cabins
  • Relax and have a great time!

You may need to administer your own medicines to your students, so please be trained and authorized
